TERMS AND CONDITIONS
Participant Age & Booking Policy

Minimum participant age: 18 years old, unless accompanied by an adult.
-
Guests 12 years old or under may join only as part of an exclusive resort booking (full-resort usage).
-
Guests under 7 years old must have a babysitter arranged for the duration of the stay.
-
Minimum booking requirement: 2 adults per reservation.
Agreement to Terms
Any payment or booking confirms that you have read, understood, and agreed to these Terms and Conditions.

Deposit Policy
-
A USD $500 per person deposit is required at the time of booking.
-
Dates will not be held — reservations are only confirmed once the deposit has been received in full from all group members.
-
An international transfer fee or credit card processing fee applies to each deposit payment.
-
Deposits are non-refundable, but may be applied as credit toward a future trip within 2 years of payment.
-
Deposit payments must be made within 7 days of invoice issuance, otherwise the booking request will be automatically released.

Payment Policy
-
Final payment is due 60 days prior to arrival.
-
Reservations are not fully confirmed until final payment has been received in full.
-
Payments are non-refundable, but may be applied as credit toward a future trip (within 2 years), subject to the cancellation and rescheduling policies.

If final payment is not received 60 days before arrival, Alaia reserves the right to cancel the reservation and release the dates. Prior payments may be forfeited.
-
Currency conversions are valid for up to 7 days from invoice issuance. After this period the rate may be adjusted according to the current USD → IDR mid-market rate as published on Wise’s currency converter (wise.com/gb/currency-converter/usd-to-idr-rate). Transfer fees and any bank deductions are the responsibility of the guest.

Accepted Payment Methods
1. Bank Transfer

Payment may be made via International Bank Transfer to Alaia’s Indonesian Rupiah (IDR) or US Dollar (USD) accounts.
-
Transfers can be sent through Wise or other financial institutions.
-
All bank or transfer fees are the responsibility of the guest.
-
For payments received in USD, any bank fees deducted during the transfer will be added to the guest’s bar tab or incidentals invoice for settlement at the resort.
2. Credit Card Payments
-
Accepted cards: VISA, MasterCard, and American Express.
-
Charged in Indonesian Rupiah (IDR) or US Dollar (USD) at the resort’s discretion.
-
A 2.9% fee applies for IDR transactions, and a 3.2% fee applies for USD transactions.

On-Site Payments
-
All on-site expenses such as bar, spa, massage, laundry, or room service will be invoiced before departure.
-
Alaia accepts payment in Indonesian Rupiah (IDR), either in cash or by credit card (VISA, MasterCard, JCB, American Express).
-
A 2.9 % processing fee applies to all credit card transactions.
-
Alaia does not accept foreign currency, traveler’s checks, or personal checks.
-
In exceptional cases where payment is arranged after departure, the full balance must be settled within 7 days of leaving the resort.
-
Failure to complete payment within this period may result in future booking restrictions for the guest and their associated group members.

Rescheduling & Cancellation Policy
Because Alaia hosts only 12 guests per trip, last-minute cancellations are difficult to replace.
To remain fair to all confirmed guests, our rescheduling and cancellation policy is designed to protect both your booking and our operations.

Requests must be made in writing via email.
-
60 days or more before arrival: No rescheduling fee.
-
30 to 59 days before arrival: 50% of deposit as a rescheduling fee.
-
Less than 30 days before arrival: Rescheduling is not possible; no credit or refund.
-
First reschedule: Only subject to any rate increase between original booking and new dates.
-
Second reschedule: Full trip cost is due at time of rescheduling; any rate increase applies.​​

Deposits and final payments are non-refundable.
-
If credit is granted, it will be applied against the current rate at rebooking.
-
If a group member cancels, remaining guests may incur a per-day rate increase.
-
No refunds are provided for early departures or unused nights due to weather, surf conditions, or travel disruptions.
-
No refunds for cancellations caused by political events, natural disasters, or transportation disruptions.

Rates
-
Rates are subject to change based on fuel costs, exchange rates, or other operational conditions.
​
Travel Insurance
-
Mandatory for all guests.
-
Must include medical evacuation coverage.
-
Alaia reserves the right to deny guests without valid insurance.
-
Please send a copy of your insurance to Resort Management and bring a physical copy upon arrival.

Travel Documents
-
Passports must be valid for at least 6 months beyond your departure date.
-
A valid visa is required if applicable to your nationality.

Transport Disclaimer
-
Alaia is not responsible for transport delays, cancellations, or schedule changes caused by weather, mechanical issues, or other operational factors.
-
If the original transport option fails, Alaia may assist in arranging an alternative; any cost differences must be covered by the guest.
-
Alaia is not responsible for airline baggage fees, cancellations, or delayed luggage.
-
In the event of delayed or lost luggage requiring separate or urgent transport, any additional transportation costs will be the responsibility of the guest.
-
Alaia is not responsible for Mentawai Fast Ferry baggage fees or schedule changes.
-
Extended stays due to weather-related transport delays (e.g., cancelled ferry or flight) will be subject to additional nightly charges at the resort’s applicable rate.
-
Alaia is not liable for costs associated with early or delayed departures, including alternative transport, accommodations, or missed connections.

Occupancy & Guests

Guest numbers must not exceed the confirmed booking.
-
Outside visitors are not permitted on the property.
-
Alaia reserves the right to refuse or remove guests who violate resort policies or disrupt other guests.

Health & Liability
-
Alaia is not responsible for health issues caused by environmental conditions.
-
All activities and services are undertaken at the guest’s own risk.
-
Alaia accepts no liability for injury, loss, illness, or damage, including incidents arising from staff negligence.
-
Drug use is strictly prohibited. Guests found in violation will be removed immediately without refund.

Responsibility

Alaia Mentawai takes all reasonable care in the delivery of its services and activities.
-
Participation in any activity or use of facilities is at the guest’s own risk.
-
Alaia is not liable for any injury, illness, loss, damage, or expense, whether direct or indirect, even in cases involving staff negligence.
-
Alaia will not be held responsible for consequential or economic losses.
​
Complaints
-
Any complaints must be reported to the Resort Manager during your stay.
-
If deemed valid, resolution may take several weeks and may be limited to refunding monies paid.
-
Complaints submitted after departure will not be considered.
​
Cultural Respect
Guests are expected to respect local Mentawai and Indonesian culture at all times during travel and stay.
Modifications
Alaia Mentawai reserves the right to update or modify these Terms and Conditions at any time without prior notice.
